Employee can click on the My Training View under the Training section and the following page will appear.
Click on the Apply button (box in orange as shown in the image above) and you will be redirected to the following page which shows all the fields that the requestor needs to fill in to submit the training request.
Under the User Information section, it will display the requestor's information such as Issue For, Department, Company and Issue By (box in red as shown in the image below). Note that the Issue For will only appear when the requestor has on-behalf access. The Issue By will display the name of the requestor who fills in the training request form.
Under the Training Form Details section, you have to fill in details such as Training Category, Internal/External, Course Title, Type, Reason/How's the course is relevant to you, Course Date To, Course Date Until, Duration (Days), Training Provider, Location, Venue, Currency, Course Fee, Hotel Cost (if any), Flight Cost (if any), Mileage Cost (if any), Other Cost (if any), Remarks, Cost Recovery and Government Subsidy.
Note that:
- The requestor is allowed to backdate the training request. It means the requestor can input the course date that has been passed.
- The Currency applies to Course Fee, Hotel Cost and Flight Cost.
- The Travel Cost (box in green as shown in the image above) will be automatically computed by summing up the Course Fee, Hotel Cost, Flight Cost, and Mileage Cost.
- When the requestor selects "Yes" on the Government Subsidy (box in orange as shown in the image above), some fields such as Claimable/Amount % and Name of the Gov. Subsidy will appear as shown in the image below. By default, the values of those fields are 100% and HRDI respectively
- There are 4 fields that are being enabled for the Approver to edit although the form is in Pending status: Cost Recovery, Government Subsidy, Claimable/Amount % and Name of Gov. Subsidy. This feature is configurable {can be activated or deactivated} from Configuration under the Administration section.
- You can also upload supporting documents for your training request under the Attachment Documents section as shown in the image below.
After filling in the training request form, the requestor can click the Save button (box in red as shown in the image below) to save the form. The status of the form will be changed to Draft status and the reference number will be generated automatically. The requestor can also click the Submit button (box in black as shown in the image below) and the form will be submitted to the approver. The status of the form will be changed to Pending status.
After submission, the Approval Route List section will generate the approval list based on the route matrix setting. You can also click on Exit button (box in orange as shown in the image above) to leave the page.
