Click on the My Outstanding Timesheet under the Timesheet section and the following page will appear. The table (box in green as shown in the image below) shows all the timesheet that has been activated by the approver.
By clicking on the timesheet period link (box in purple as shown in the image above), you will be redirected to the following page.
Under the User Information section, the system auto displays the current user's Employee name, Designation, Company and Department (box in red as shown in the image below).
Under the Timesheet Header section, it displays the Reference No., Status, Timesheet Period, Date, Timesheet Due Date, Total hours, Holiday, Leave Approved (box in red as shown in the image below) and the list of approved leaves for the selected period of the timesheet (box in green as shown in the image below). Note that only leaves from EWS Leave that have approved status will appear in the list.
Under the Timesheet Details section, it displays the list of activities inputted by the employee along with its duration. To add an activity type, you can fill in fields such as Activity Type, Description of Activity, Block Group, Block Category, Block and Hours (all box in red as shown in the image below). Then, click the Add button (box in black as shown in the image below).
Note:
- The total number of hours (box in purple as shown in the image above) in the details section must tally with the Total Hours specified in the Timesheet Header section as shown in the above image. otherwise, the system will prompt an error message.
- The leaves listed in the Timesheet Header section will be automatically displayed and its total number of hours will be accumulated as shown in the above image (box in purple as shown in the image above).
- For any manually added activities, there will be Edit, Delete and Copy hyperlinks. You can edit, remove or copy the activity onto the next line by clicking on those hyperlinks.
- The Block will be defaulted based on the Administrator’s setting of Activity Type, Block Category and Block fields in the Administration section.
- As long as the timesheet form is in Draft, Recalled or Reverted status, any incoming approved leaves will be automatically added into the timesheet period; otherwise, the leaves will not be included in the timesheet. Employee must manually adjust the total number of hours again before re-submitting after the leaves have been added.
You can save or submit the timesheet form by clicking the Save button (box in red as shown in the image below) or the Submit button (box in black as shown in the image below). Upon saving Timesheet, the reference number will be auto-generated and the status will be set as Draft. Upon submission, the status will become Pending.
Note that you need to set up the route matrix before you can successfully submit the timesheet. To set up the route matrix, please click on the Route Matrix section under the Approval section in the Setting page.
Upon successful submission, a message “Request has been submitted successfully” will be displayed (box in orange as shown in the image below).
Note:
- In Pending status, you can no longer edit/amend any information in the timesheet. There will be a Recall button appears (box in black as shown in the image above) for you to recall if you want to amend any information in the timesheet form.
- Once the form has been recalled, the status will be changed to recalled and you can edit/amend its content before re-submitting.
- There will be no withdrawal function as all employees must submit their timesheet form.
